The Scalable Survey POC Summary

Current State:  The COMPANY IT Operations team has believed for some time that there is an opportunity to optimize their software license portfolio.   This effort would result in significant cost savings to the company. Historically, both the purchasing and IT departments have had a limited ability to impact this due to a lack of the  following:

  • A business intelligence reporting system designed for software asset management and cost reduction
  • Complete inventory of all software products installed on each device
  • Actual usage of the software on each device including browser-based applications
  • Total cost impact of the software portfolio based on end user demands and usage patterns

This has been further complicated by the distributed nature of the environment, the process through which software has historically been purchased and deployed, and limitations in current processes used to manage IT costs.

Key Business Drivers:  Cost optimization is always important but must be balanced with COMPANY key business considerations.  In reviewing the current state and understanding the optimal solution, the following key business drivers were identified:

  •  Associate & customer productivity; Assure that desktop users have only the software they need
  • Standardization of software portfolio: Improve internal communication and minimize the complexity of
    helpdesk calls.  Change IT buying patterns to support only the applications proven to be used by employees.
  • Free Reader Replacement: Deploy free reader versions of licensed software to associates whose usage patterns
    are low
  • Utilization Awareness: Gather tangible usage patterns for all software applications running on desktops
  • Compliance Position: Stay legal and eliminate exposure from a software audit
  • Cost Optimization: Don’t spend more than what is necessary on license and maintenance subscriptions

Proof of Concept:  COMPANY and Scalable engaged in a Proof of Concept (POC) to address the following critical objectives:

  • Can the Survey Suite provide a reliable understanding of what is installed and used on each machine?
  • Can the Survey Suite be deployed with no disruption to COMPANY associates and customers? How significant is the opportunity to optimize the licensing strategy and eliminate wasteful spending?
  • Can the Survey Suite be a shared information platform for all Procurement and IT Operations teams to monitor asset utilization, compliance, inventory and cost containment?
